Week Templates

Week Templates allow for standard weekly schedules to be created and applied to the schedule. The Week Template that has been defined as the “default week template” will automatically be populated within a schedule whenever a new period is created.

You may also manually apply a week template to an existing period or specific date range.

Multiple week template versions may be saved to adjust for seasonal variations in the schedule. After applying a week template, further adjustments can be made directly within the period manually.

If there are already existing shifts and assignments in the period to which a Week Template is applied, those will be overridden in cases of conflict with the applied Week Template. A message to this effect will be displayed.

Configuration

Before you can use a given Shift Type in a Week Template, it must first be created in the Intrigma Scheduling System (ISS). (link to the “Shift Types” article?)

Navigating to the Week Templates Page

Week Templates are maintained under the Sections tab, which is accessible from the hamburger menu on the top left of the Scheduler+ Dashboard.

From the Sections tab, select the Week Templates sub-tab that is located to the right of the General sub-tab.

Creating a New Week Template

To create a new Week Template:

  1. Click the Add button (denoted by a + icon) on the lower rightmost side of the Settings window.

  2. On the Add Week Template dialog, enter a name for the template, then click Create.

The new template appears on the list at the top of the Week Templates page. Below this list is the Week Template Details section, which will show the shifts that have been created for each day of the week.

Adding a Shift to a Week Template

Once you have created your Shift Types, you will be able to start adding shifts to a Week Template.

To add a new shift to a week template:

  1. Select the Week Template that you would like to modify from the list.

  2. Right-click on the day of the week that you would like to modify and then select Add Shift from the context menu.

    • You can also add the same shift to multiple days at once, by holding the Ctrl key on your keyboard, and selecting the days that you would like to add the shift to, before right-clicking and then selecting Add Shifts from the context menu.​​

  3. From on the Create Shifts dialog:

    • Select the Shift Type of the shift you want to create.

    • Define a start and end time, if different from the Shift Type’s default.

    • Select a number from the Credits box (Applicable only if you use the Credits feature in your organization).

  4. To view the Staffing Rule for the shift, select the Show Staffing Rules box. Update the following, if required:

    1. Staffing level (this is typically “Exactly 1”, but you can select whichever is appropriate for your organization). For example, a Shift with no maximum number of assignees can be set to “no less than 1 User.”

    2. Priority (this is typically set to 10, and should only be modified if suggested by an Intrigma representative).

    • Comment on the shift, if needed, on the appropriate box.

  5. Click Create. The newly-created shift will then displayed on the day/s that it was applied to in the Week Template.

Note: If left unmodified, Shifts added to a Week Template will inherit all properties defined within the Shift Types tab.

Editing a Shift Within a Week Template

To edit a shift in a Week Template:

  1. On the Week Templates page, select the Week Template with the shift you want to edit from the list.

  2. Select the shift you’d like to edit, then Right-click and select Edit Shift from the context menu.

  3. On the Edit Shift dialog, make your changes to the shift, then click Update.

Note: Editing of multiple shifts is not currently supported.

Deleting a Shift from a Week Template

To delete a shift from a Week Template:

  1. On the Week Templates page, select the appropriate Week Template from the list.

  2. Select the shift that you would like to delete, then right-click and select Delete Shift from the context menu.

    To delete multiple shifts, hold the CTRL key on your keyboard, left-click the shifts you would like to delete, then right-click on any one of them, and select Delete Shifts from the context menu.

  3. Right-click, then select Delete Shift from the context menu.

  4. Click Delete within the dialog to proceed with deleting the shift.

Duplicating an Existing Week Template

You can duplicate an existing Week Template by doing the following:

  1. Select a Week Template and click the Duplicate button (the icon showing two overlapping pages).

  2. On the Duplicate Week Template dialog, either accept the system’s default name or enter a new name for the duplicate template, then click Duplicate.

  3. The duplicate Week Template will then appear in the list.

Setting a Week Template as Default

When creating a new Period to the schedule, the default Week Template will be used to automatically populate all of the shifts throughout that Period.

To set a Week Template as the default:

  1. Select the Week Template to be set as the default.

  2. Click the Set as default template for new periods button (denoted by an icon showing an encircled upward-pointing arrow), which is located to the right of the Apply Week Template button.

  3. Click Yes on the alert to set the Week Template as the default.

  4. On the list of Week Templates, the Week Template will show a Default template for new periods label on the right.

Manually Applying a Week Template to a Schedule

To manually apply a week template to the schedule:

  1. Select the Week Template to be manually applied to the schedule from the list.

  2. Click the Apply Week Template button on the lower right of the page.

  3. On the Apply Template to Schedule dialog, select the date rate that you would like the Week Template to be applied to.

  4. Click Confirm to apply the template to the schedule.

Deleting a Week Template

Aside from the default Week Template, you are able to delete Week Templates at any time. If you try to delete the default Week Template, you will be asked to first set another Week Template as the default (see Setting a Week Template as Default).

To delete a Week Template:

  1. Select the Week Template that you would like to delete from the list.

  2. Click the Delete button (denoted by a Trash icon).

  3. Click Delete on the alert to confirm the operation.

Related Features

  • Calendar View: Impacts the display of shifts on Web and Mobile applications, allowing Users to view their schedules and make swaps (if enabled).

  • Shift Types: Specify a shift’s default properties such as start and end times, applicable Users, and rules.

  • Requests: Allows schedulers to create requests on behalf of Users.

  • Request Reminders: Sends notification to Users before theie Period Request deadlines.

  • Request Priority Groups: Allows limiting Users from filing requests until a specified amount of time, e.g. per diems can only submit requests a week before the deadline.
